This privacy notice has been created to help you understand why I, your driving instructor, need to collect and store your personal information, how it will be used, who it may be shared with, and how long it will be retained. This notice will also outline your rights under the General Data Protection Regulation (GDPR). Where certain information is not necessary to provide the services you require, I may need your consent to collect or use such information for other purposes beyond what is reasonably expected.
How Your Information May Be Used:
Providing access to online learning resources and other related services, which you can manage and erase at any time.
Sending promotional offers related to my business, with your express permission, until you choose to withdraw consent.
Sharing information with relevant organizations for quality control or regulatory compliance.
Personal Information Collected and Its Use:
Payment Details: With your consent, I may store your credit/debit card details for processing payments for my services or products. This information will be securely stored and deleted once you cease using my services or request its removal, whichever comes first. Secure disposal methods will be used.
Financial Records: I am required to maintain written and digital records of all payments, lesson bookings, and services provided to ensure accurate accounting. These records will be retained for six years, after which they will be securely destroyed. Records may be kept in physical or digital formats.
Contact and Personal Details: I will collect your name, address, email, phone number(s), date of birth, and provisional driving licence details for the following purposes:
Providing driving instruction and communicating with you as needed.
Booking theory or driving tests on your behalf.
Maintaining legally required financial records for six years.
Learning Progress: I will keep records of your learning progress to help you track your training milestones. These records may be kept in a secure digital or paper-based system.
Driving Test Results: I will record details of your driving test results, including faults noted on the test report, to assess and improve my instructional performance.
Promotional Use: With your consent, I may take a photograph and written review upon passing your driving test to promote my services. These may be used on secure digital platforms or printed materials until you request their removal. Please note that social media content may be shared by others beyond my control, but I will remove content from my platforms upon request.
COVID-19 Contact Tracing: If required, I may share your contact details with the NHS Test and Trace Service (or equivalent in Scotland and Wales) to help identify potential COVID-19 exposures related to my vehicle.
Dash Cam Usage: If my training vehicle is equipped with a dash cam, it will primarily be used for learning purposes or in the event of an insurance claim. If used for any other reason, I will seek your written consent. Clear signage will indicate camera usage. Outward-facing cameras record the road, while inward-facing cameras record the front seats. You have the right to request the interior camera be turned off during your lesson. Audio will only be recorded if it aids learning; otherwise, it will be muted. Video footage will be deleted within 30 days unless you provide written permission for extended use or it is required for an insurance claim.
Any personal information that is not disposed of as stated above will be securely destroyed after six years unless you have consented to a longer retention period.
